Hamilton Roder (“we”, “us”, “our”) respects your privacy. This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles and, for people in the United Kingdom, the UK GDPR.
01Information we collect
We only collect personal information that is reasonably necessary for us to provide our services. Depending on how you deal with us, this may include:
- Contact details – your name, email address, phone number, company name and job title.
- Billing details – your billing address and order history. Card payments are handled by our payment provider; we do not store full card numbers.
- Enquiry and project information – anything you tell us in an enquiry, order note, brief or meeting.
- Account and campaign access – where you give us access to platforms such as Meta, Google, LinkedIn or your website, the information needed to manage them for you.
- Website usage information – such as your device, browser, pages viewed and how you arrived at our site, collected through cookies and similar technologies.
We do not intentionally collect sensitive information (such as health, religious or political information). Please don't send it to us unless we specifically ask.
02How we collect it
We collect personal information directly from you when you:
- fill in our contact or checkout forms, or email or call us;
- order a service, request a quote or become a client;
- subscribe to updates or download a free resource; or
- interact with us on social media or at events.
Sometimes we receive information from third parties – for example, a business that refers you to us, or advertising and analytics platforms when we run campaigns on your behalf.
03How we use your information
We use personal information to:
- respond to your enquiries and provide quotes;
- deliver, manage and report on the services you order;
- process payments, issue invoices and keep business records;
- send you service updates and, where you've agreed, marketing communications;
- improve our website, services and customer experience; and
- meet our legal and regulatory obligations.
You can opt out of marketing emails at any time using the unsubscribe link in the email or by contacting us.
05Overseas disclosure
Hamilton Roder operates in Australia and the United Kingdom, and some of our service providers (such as cloud hosting, email and advertising platforms) store data overseas, including in the United States and Europe. Where we disclose personal information overseas, we take reasonable steps to make sure it is handled in line with the Australian Privacy Principles.
07Keeping information secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include secure (encrypted) connections, access controls and using reputable service providers. We keep information only for as long as we need it for the purposes above or as required by law, and then securely delete or de-identify it.
08Access, correction and complaints
You can ask to access or correct the personal information we hold about you by contacting us using the details below. We'll respond within a reasonable time, usually 30 days.
If you have a concern about how we've handled your personal information, please contact us first so we can try to resolve it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, or, if you're in the UK, the Information Commissioner's Office (ICO) at ico.org.uk.
09Changes to this policy
